Telecommunications | Helsinki's absurd problem is actually wider – Emails don't get through

The city of Helsinki is having difficulties getting the e-mails it sends to the recipients.

Helsinki the city's e-mail problems are more extensive than previously reported.

HS news last Tuesday, that the emails sent by the kindergartens do not reach the Gmail addresses of all the children's parents or there are delays in the delivery of the emails.

There have been problems especially when e-mails have been sent to several recipients at once.

Helsinki early childhood education has informed parents about this and hoped that they would use an email other than Google's Gmail.

Problem according to HS's information, it affects the city more broadly, i.e. it is not only a challenge for early childhood education.

This is granted by the digitalization director of the City of Helsinki Hannu Heikkinen.

“All our services that send e-mail widely can have a problem that the e-mail does not reach its destination. This is not just a problem of early childhood education.”

So what are the problems?

A city-owned company called Digi Helsinki is responsible for maintaining Helsinki's email servers.

According to Heikkinen, the city and Digi Helsinki have actively worked together to find out problems related to sending e-mails and fix them.

Technical adjustments have been made to the city's e-mail servers, whose functionality with Gmail has been verified, says Heikkinen.

“We have made the repairs that we can make.”

As a challenge is, according to Heikkinen, the fact that e-mail addresses ending in hel.fi are used a lot for mass customer communication in different parts of the city and that regular e-mail servers are used for customer communication.

Thousands of messages may be sent from the city at once, and many recipients use Gmail, which is widely used.

When e-mail services tighten their spam filtering, e-mails from Helsinki get caught in the filters or are rejected completely.

“Even though the email server configurations have been fixed, we have a situation with Gmail that it can interpret our emails as inappropriate.”

According to Heikkinen, Google has been contacted about the matter.

A solution we are now looking specifically for a service intended for wider customer communication.

“We need to find an email service that is designed for sending mass messages. This will be investigated next.”

According to Heikkinen, the city's operating method of using normal e-mail for communication, which has developed throughout history, is not the most functional.
